Role Overview
The Administrative Assistant will support day-to-day operations, communications, and content-related tasks for a growing remote brand. This role is ideal for a highly organized, self-sufficient professional with strong written communication skills and a warm, authentic tone. You will manage inboxes, engage with the community, support affiliate initiatives, and assist with a wide range of administrative and logistical responsibilities.
Key Responsibilities
Email Management & Communication
Draft and send warm, thoughtful, and authentic emails to clients, partners, and community members
Manage and prioritize inbox communications, removing unimportant messages
Set and reset email snoozes to ensure timely responses
Draft client communications and manage follow-ups
Content Management & Social Media
Post and repost content across platforms, including managing affiliate links
Engage with the community through DMs, comments, and Substack chat with an authentic and friendly tone
Edit and organize trip photos for content creation
Affiliate & Partnership Support
Manage and regularly update affiliate links
Create content for affiliate links and research potential new partnerships
Maintain referral and affiliate tracking spreadsheets
Data & Administrative Support
Export data weekly to ensure proper backups
Create and maintain spreadsheets for various lists and resources
Manage URL submission tracking and affiliate information
Trip Booking & Logistics
Assist with trip bookings and related logistical tasks to support client travel experiences
Community Engagement & Moderation
Manage member requests and moderate community posts
Approve or remove content as needed
Comment on posts to encourage engagement and add value
Share content from other platforms to foster conversation
Substack & Platform Support
Assist with managing and promoting conversations on Substack
Transfer email addresses and social handles into Substack and Instagram for streamlined access
Qualifications
Experience
2+ years of experience as a Virtual Assistant or in a similar administrative or customer support role
Skills
Strong written communication skills with a warm, thoughtful, and authentic tone
High level of organization and attention to detail
Ability to work independently, manage time effectively, and juggle multiple tasks remotely
Comfort engaging with community members across social media and online platforms
Familiarity with AI tools for strategy, Substack, and social media platforms
Basic understanding of affiliate marketing and link management
Positive, friendly attitude with a strong work ethic
