Role Overview
The Licensor Operations Coordinator will own the full licensor content ingestion pipeline end-to-end. This role is ideal for an operational thinker who excels in complex workflows, thrives in cross-functional environments, and enjoys optimizing systems while bridging strategy with hands-on execution.
Key Responsibilities
End-to-End Ingestion Management
Own the full licensor content ingestion workflow from contract signature to tech team handoff.
Actively monitor, manage, and improve timelines to ensure 100% ingestion success.
Set and track measurable ingestion benchmarks and troubleshoot delays quickly.
Interface directly with vendors responsible for ingestion-related deliverables.
Process Optimization & Vendor Management
Analyze ingestion spend and identify cost-saving opportunities and strategic improvements.
Create SOPs, onboarding guides, and documentation to reduce licensor onboarding time by 50%.
Conduct regular process audits and implement improvements to reduce cycle times.
Source, evaluate, and manage vendors, aiming to reduce costs by at least 25% quarterly.
Systems & Automation
Oversee tools such as Pylon and Jira for ticketing, Salesforce for data management, and Metabase for database access.
Manage, but not implement, automation tools and systems to streamline workflows.
Leverage familiarity with Amazon AWS and Amazon CLI as a strong bonus.
Build and maintain ingestion dashboards and tracking systems to monitor progress and proactively flag issues.
Licensor Relationship Management
Serve as the primary point of contact for licensors post-signing and initiate onboarding within 24 hours.
Lead and scale a customer support function with clear SLAs and high responsiveness.
Maintain high licensor satisfaction, targeting 95%+ scores through proactive problem-solving and ongoing support.
Cross-Functional Collaboration
Align with sales, tech, and operations teams through regular syncs and reporting.
Provide insights for internal improvements and collaborate with the tech team to optimize sample builds.
Deliver consistent performance reporting and operational updates.
Tools You’ll Use
Pylon and Jira for workflow management
Salesforce for CRM and data handling
Metabase for database access (familiarity helpful but not required)
Amazon AWS and CLI (strong bonus)
Qualifications
Experience
3+ years in operations, project management, or workflow optimization roles.
Experience managing external stakeholders such as licensors or vendors.
Skills
Strong documentation, tracking, and reporting skills.
Native English fluency with excellent interpersonal and client-facing communication abilities.
Comfortable working cross-functionally with both technical and non-technical teams.
Process-obsessed, efficiency-driven, and naturally proactive.
Strong analytical thinking with attention to cost optimization.
Clear communication skills and comfort owning both strategy and execution.
